JOB TITLE:  Data Associate

REPORTS TO:  Data and Research Manager

STATUS:            Full-time, exempt

SUMMARY:  Oversee the day-to-day compliance and training of Heading Home’s Family shelter and stabilization programs utilizing the Efforts to Outcomes (ETO) system.  The Data Associate will act as a liaison within the organization to facilitate data entry, accuracy and quality control for all aspects of the data collection system.  While primarily based in the Charlestown office, this position will also work in the Dorchester office on occasion.


  • Meet with program staff to address current data collection protocols and program requirements
  • Provide support in the creation of custom reporting tools for funding sources as well as reporting for operational program requirements
  • Ensure accuracy of data inputted to ETO system including program participation rates and demographic information for all of Heading Home’s Family Services  shelter and housing programs
  • Track and report both accuracy and completeness of requisite elements
  • Collaborate with Data & Research Manager to design and prepare customized reports in Excel using macros
  • Document data errors and inconsistences with program staff
  • Meet with staff to train and answer questions specific to the data collection systems
  • Provide support for data collection systems via phone, email and remote access sessions
  • Provide HMIS support for all locations within the Greater Boston area
  • Conduct regular audits of data
  • Prepare standardized training materials for the use of the data collection systems
  • Facilitate training workshops on a weekly basis
  • Act as lead person responsible for merging duplicates and deleting data as needed
  • Complete independent projects as assigned
  • Maintain and update knowledge of Housing and  HUD Data Collection efforts
  • Attend community meetings with Data & Research Manager as needed


  • Bachelor’s Degree
  • Proficiency in PowerPoint, Access and Outlook
  • Advanced user of MS Excel including intermediate and advanced formulas and Macros
  • Understanding of programming logic is a plus
  • Knowledge of statistical package software helpful
  • An understanding of software programs and query reports
  • Ability to convey detailed information, important instructions and ideas accurately and quickly in writing and verbally
  • Leadership skills with the ability to respond appropriately to crisis situations, make sound decisions and assist fellow team members, including members of other departments
  • Ability to define problems, collect data and information, establish facts and draw valid conclusions and/or interpret basic trends
  • Ability to calculate figures and amounts and understand and create data visualizations
  • Comfort working directly with vulnerable populations, including people with chronic disabilities and people experiencing homelessness
  • Must be able to relate to persons of diverse backgrounds and functioning levels
  • Must be able to occasionally ascend and descend stairs up to three or more sets, frequently move equipment weighing up to 15 lbs., must be able to remain in a stationary position 50% of the time
